Welcome to the Nashville Events by Design web site! Please take a few minutes to review these Terms and Conditions, as your product and venue rental, or purchase of products or rendered services from us constitutes your agreement to follow these Terms and Conditions and be legally bound by them.

ORDER PLACEMENT

How do I place an order for Venue(s) and/or Event Planning Services?

  • Orders can be placed via phone, or at our showroom, or venue locations.
  • Please contact our office directly for hours of operation.
  • You may also place orders via email to info@nashvilleeventdesign.com

What should I expect once I have contacted your Company regarding a Venue(s) and/or Event Planning Services?

  • A friendly and courteous Representation will assist you, by getting pertinent information to properly answer your much needed questions, and concerns.
  • A representation will then advise and/or suggest your and/or our company next plan of action to start the process.

How does your company work with out-of-town Clients, regarding vendor communications and product viewing?

  • Todays electronic commuications makes this a very easy task for our company to under-take.
  • Nashville Events by Design has several a la carte communication methods that we used with our local and out-of-state clients.
  • 3-way Conference calling with potential Vendors, which includes recommendations and advise along the way.
  • Our company is one of the very few Event Planning companies that provide you with your "very own" online password protected Gallery Basket that contains very important progressive decision making sample work and suggestions; such as images of ideas to your venue location, colors, flowers, vendors, etc. + pictures and information about your chosen Vendors so that you know with whom you are working with, and to establish a comfort level.
  • Your "one source" Gallery Basket will contain Venue and Vendor "contract" information, and so much more.  We provide you with a "One Source" area, a Bucket for all the pertinent information regarding your event.  We make every effort to create a long distance envirnoment to be as stress free, personable and as much fun as possible.
  • We have worked with many clients that we never met face-to-face until 2 to 3 days before their event day.
  • We have also preside and planned events out-of-state, while we reside in Nashville, the client in another state, and the event in a third state; the end result was the event was very polished and a big succes. 

What should I expect as a local bride in respect to Venue(s) and/or Event Planning Services?  What are the Benerit? 

  • You will receive the same quality of service as our out-of-state clients.
  • The difference is we get the added value of meeting you and your family face-to-face.
  • You will also receive the added value of visiting our showroom to view sample illustrations, and to share your thoughts and ideas.
  • We make every effort to create an envirnoment to be as stress free, personable and as much fun as possible.

Tell me about your Pricing for Venue(s) and/or Event Planning Services for a total event experience?

  • Nashville Events by Design do our very best to work with all budgets "low to high".
  • Our company requirement is for you (the Purchaser) to thoroughly think through your desires.  Whereas, if we can not meet your total vision, we do our very best (no guarantee) to come up with an alternative action plan for your event day.
  • Wedding Day Coordination and Event Planning:
  • $650.00 to $3,800.00

  • Venue (s) only through-out Nashville, and middle Tennessee:
  • $1,750.00 to $5,000.00

  • Total Package Venue (s) plus Event Planning Services:
  • $8,500.00 to $85,000.00

  • This information is generic, and is based on 100 to 150 guest for an average range of small, mid and higher end events.

  How do I place an order for invitations?

  • Orders can be placed via phone, email or at our showroom, or venue locations.
  • Please contact our office directly for hours of operation.
  • You may also place orders via email to info@nashvilleeventdesign.com or by going to the invitation order page to Inquiry your chosen invitation.
  • Once your order is received we will email or fax you a confirmation.  Please allow 1 to 3 business days for us respond to your inquiry.
  • To confirm an order, we must receive the signed Job Order/Invoice and the completed Rental Contract Terms & Conditions Agreement with a valid credit card on file.

Do I need to make a deposit for an invitation order, or "any" of  the services that your do?

  • Yes.
  • We require a 50% deposit upon confirmation to reserve your linens - with balance due 30 days prior to event date.
  • 100% to order invitations

    35% Retainer Fee to Reserve Ballrooms and Wedding Chapter w/optional mthly equally divided pymts

    50% Tuxedo Rentals - balance due two weeks prior to wear date - returns due back 24 hours after wear

    60% Ladies Special Occasions Dress Orders

    100% Custom Orders

    100% Rush Orders "venues and products"

    50% non-refundable Veil and Jewelry Rentals - Balance due at pick-up

Is there a minimum-order requirement?

  • No.
  • Nashville Events by Design does not require a minimum order.  No order is too small or too big.

How do I make revisions to my orders?

  • After you have confirmed product and/or your invitation order, revisions can not be made.   
  • Linen revisions can be made up to 21 days before the delivery/ship date.
  • Event revisions can be modified up to 3 weeks prior to the event, only "if" special orders have not been placed, and/or job production has not started for the event.
  • Simply contact your Nashville Events by Design representative via phone, email or fax with your changes, and make sure you receive a confirmation reflecting the revision.
  • Revisions are not allowed for "rush order" as these orders are sent into production quickly. So be careful and exact.

How can I obtain your prices?

  • Pricing inquires are welcomed by phone, email or fax at our Nashville Events by Design office and showroom.
  • Some pricing will be listed on our website.

CUSTOM ORDERS


Does Nashville Events by Design accommodate custom orders?

  • Yes.
  • Nashville Events by Design’s utmost desire is to make every event truly memorable by creating the right style for your occasion. Our representatives will assist you in making your event unique.
  • Confirmation of “custom” orders requires a non-refunded 100% prepayment no later than twelve weeks prior to the delivery/shipping date.  Local in-house custom orders can be taken in a shorter time-frame, but must be paid in full before the work is started.


Can I receive a refund on a cancelled custom and/or service, or rush order?

  • No.
  • A non-refund policy applies to all prepayments and final payments for all "special” or “custom”   or "rush" orders. There will be no refund for orders if production or processing costs have been incurred by Nashville Events by Design.  Additional details below under our Cancellation Policy.

DELIVERY & SHIPPING


How will I receive my order?

  • We currently deliver via FedEx service. Please contact a Nashville Events by Design representative for delivery and shipping fees.


Can you deliver to any area in the country?

  • We may be able to deliver.  Usually Yes.  Please contact a Nashville Events by Design representative for specific requests.


Can I pick up my order?

  • Yes. 
  • Orders can be picked up at our locations in Nashville Tennessee.  2416 Music Valley Drive . Suite 115 . Nashville TN in the Opryland area.


When will I receive my shipments?

  • Normally orders are shipped based on vendor “designer ship date provided to us”. Nashville Events by Design will provide to you the scheduled vendor ship date. 
  • However, Nashville Events by Design cannot be responsible for any delays or mishandling caused by FedEx, Designer Manufacturer incidents, or for any natural causes that might prevent the timely arrival of shipments, especially those for last-minute orders.

PAYMENT POLICIES


What is your payment policy?

  • Nashville Events by Design accepts Visa, MasterCard, Debit Cards, Cash and PayPal.
  • A range of 33% to 50% deposit is required upon booking confirmation, based on the type of service. 
  • Balances are divided equally over the remaining months before your event to be paid in monthly increments.
  • All job orders must be paid in full 30 days prior to the event, and/or planned services must be paid in full 21 days prior to the date of your event/delivery/shipping date, or the order is subject to cancellation.
  • All venue bookings and/or planning services less than 30 to 60 prior to the event date are considered RUSH orders, and usually goes immediately into production for special order fulfillment etc processing for special request, and are non-refundable. 
  • Rush order bookings are non-refundable.       
  • Processing installment payments are subject to an administrative service charge of $3.00
  • Processing Credit Card orders are subject to a convenience fee of $12.00 for >$500.00 or $6.00 for <$499.00


Can I pay by check?

  • Yes.
  • Personal and Business checks are accepted, and very much welcomed; however, a valid credit card must be on file for co incidentals.
  • An additional charge of $50.00 will be applied if checks are returned for insufficient funds. 
  • Checks will not be accepted for any event scheduled to occur 21 days or less.

 

Event Insurance?

  • Event Insurance is highly recommended to cover your investment cost of co incidentials.  Protect your investment.

RETURN PROCEDURES


Does Nashville Events by Design pick up the linens after the event?

  • No.
  • Only under EXCEPTIONS and/or if special arrangements have been made prior to event date.  For example, package agreements, or under the concierge service plan agreement.
  • Linen, Tuxedos, Party Products must be returned within 24 hours after the event date and time, or an additional could b e assessed.


What is the deadline for the return of linens, tuxedo, party products?

  • All rental products are due back at Nashville Events by Design’s headquarters on the RETURN DATE indicated on your invoice.
  • Usually the return date is the first regular business day after the event.
  • An invoice will be issued and processed in occurrence to our terms/conditions and submitted for payment of items not returned on or before the return date.

LOST & DAMAGED


What happens if linens are missing after my event?

  • All items will be thoroughly checked and re-counted and inventoried upon their arrival to the headquarters warehouse.
  • Missing linens, or other rentals items such as Tuxedos, Party Products will be charged to the credit card provided at three times the rental price.


What happens if linens are damaged?

  • Damages include but are not limited to: burns, tears, mold or excessive melted wax on fabric, cracks, broken, heavily stained tux and accessories resulting in products that are deemed by Nashville Events by Design to be in un-rentable condition according to our usual quality standards.
  • Damaged products will be charged to the credit card provided at three times the rental price.
  • Damaged products must be returned to Nashville Events by Design as we retain ownership and rights to our styles and products. Payment applied for any damaged linen is not a purchase of that item.

CANCELLATION POLICIES


Can I cancel my Order and/or Event at any time?

  • No.
  • Cancellation of an order event, stop service request must be made in writing at least 120 days prior to your event date, and must be received before production service is rendered, service start up, and/or before scheduled product ship date to qualify for a "partial refund", less the 1st payment origination retainer fees. 
  • All cancellations or stop service request must be received in writing, and receipt acknowledged by Nashville Events by Design at least 120 days prior to your scheduled booked and reserved date of event, otherwise non-refundable.
  • Please see "Custom Orders" for additional restrictions.  All "custom orders" and/or "rush orders" are non-refundable.


Will I receive a refund of my Deposit and/or Retainer Fee?

  • Some (not all) product prepayments might qualify for a refund, but only if no production action or processing costs have been incurred by Nashville Events by Design.
  • Retainer fees are paid for our services performed, and are non-refundable. 
  • Custom request and manufacturer prepaid product orders are non-refundable after order is processed  and released into production; these are custom orders, with a scheduled ship date and a specify production timeline.
  • Venue Deposit "first payment" (or) origination fee is an (administrative and booking fee to remove or take the facility off the market) for the sole purpose of event space to be used and is non-refundable. 
  • Cancellations prior to 120 days to the event is a partial refund above the adminstrative and retainer fees.
  • Cancellations received less than 30 to 60 days prior to the event date are non-refundable.  No exceptions.
  • Events and Services booked 30 to 60 days prior to an Event date, last minute and Holidays bookings - prepayments are non-refundabe, and a credit card must be placed on file for incidentals, as the company goes into an emergency rush production order to prepare for your up-coming event. In these situations a refund will always result to a loss of revenue for the company, with no exceptions prepayments are non-refundable.
  • Timeline Booked and Scheduled venue events are non-refundable, because of the nature of the business (the venue is removed from the market place and booked for a specified time and date).   When the venue is closed and off the market potential scheduling, business inquiries cease for that booked period, causing a loss of pending business. 
  • Nashville Events by Design may cancel an Event up to 6 months prior to the Event Date with a full refund to the Purchaser.  Nashville Events by Design shall not be held responsible for an Act of God exception, whereas conditions are not within our control. 
  • Purchaser may cancel an Event in writing up to 120 days prior to the Event Date for a partial forfeit of any original scheduling (booking) retainer fees.  Twenty Five percent (25%) of the second paid retainer shall be forfeited if Purchaser cancels the Event in writing less than 90 to 120 days prior to the event, a Fifty percent (50%) of the second or future deposits is forfeited if Purchaser cancels the Event in writing less than 60 to 90 days prior to the event date, less than 60 days prior to the event date is non-refundable. 
  • Cancellations received within 30-60 days prior to the Event Date will result in one-hundred percent (100%) forfeiture of all monies paid to date and are 100% non-refundable, in most cases the company has already scheduled and started production actions, as well as the potential loss of business due to a booked off the market facility, and/or our planning services being scheduled for “your” event (booked), the facility and/or planned services are off the market for incoming inquires to job bookings resulting in sometimes substantial financial loss.
  • Tuxedo prepayments will be refunded only if cancellation is received in writing three weeks prior to the wear day.  Note that measurement deposits, and processing fees are non-refundable by Nashville Events by Design.
  • Custom Gown prepayment orders are non-refundable after any order is released to the manufacturer to go into production.  Prepayment is non-refundable by Nashville Events by Design.

 

Event Insurance?

  • Event Insurance is highly recommended to cover your investment cost of co incidentials.  Protect your investment.

In addition, Nashville Events by Design reserves the right to correct any errors, inaccuracies or omissions and to change or update information at any time without prior notice (including after you have submitted your order).

To the extent our Web Site contains hyperlinks to outside services and resources, the availability and content of which Nashville Events by Design does not control, any concerns regarding any such service or resource, or any hyperlink thereto, should be directed to the particular outside service or resource.

PRODUCT and SERVICE USAGE

By conducting business with, you agree to use Nashville Events by Design's rental property (linen, chair covers, tuxedo and accessories, veil, jewelry, dresses, party supplies) in a careful and proper manner, comply with all applicable laws and regulations, and return Nashville Events by Design property in the same condition as when you received it.

In the event that rental property is not returned, or is returned in a torn, burned or otherwise damaged condition, you agree to be responsible for replacement costs equal to three times the rental rate, plus the original rental charges. You agree to pay these charges upon receipt of the replacement billing or have them charged to your credit card and that Nashville Events by Design retains ownership of damaged product and/or service. In willingly accepting our service (verbal or written contract) or renting Nashville Events by Design's product, you agree to assume all risk of loss and of damage from any cause whatsoever.

You acknowledge that all Nashville Events by Design property rented, or services accepted by you is of a size, design, quantity and quality selected by you and that you are solely responsible for all costs incurred by change of mind, ordering errors, such as incorrect date of usage, color, quantity, sizes, etc. 

Nashville Events by Design does not make any representation, warranty, or covenant, express or implied, with respect to the availability, condition, quality, durability, or suitability of the rental property for your intended purpose or use. Nashville Events by Design is not liable for any loss or damage caused directly or indirectly by your use of our rental property, by any inadequacy thereof, or defects therein. Therefore, you agree to wholly indemnify us and our officers against any claim, action, damages, and liability, including attorney’s fees, arising or connected with your use and/or possession of the rental property and/or our services. 

You understand that colors, fabric textures and transparencies displayed on this Web Site may vary slightly from actual fabric colors, likely due to differences in monitor calibration settings, and that Nashville Events by Design is not responsible for visual discrepancies between the appearance of our product online and the actual product.

Nashville Events by Design is committed to respecting your privacy and recognizing your need for appropriate protection and management of your personal information in the course of any transaction.

When you hire our services, rent or purchase our products, you are required to provide some personal information, such as your name, shipping/billing address, telephone number, email address, credit card information, birth date, sometimes driver license number, etc. We may need to contact you via phone, email or mail to address questions or issues specific to your product or service order, etc. and we retain the right to do so, even if you have opted to not receive communications from us. 

Nashville Events by Design commits to never share or sell your information to a third-party without your explicit consent. As an occasion warrants, we may contract with companies or persons to provide certain services including credit card processing, shipping, data management, production services, etc. and provide them with only the information required for them to perform these services on your behalf.

Although unlikely, in certain instances we may disclose your personal information when we have reason to believe that it is necessary to identify, contact or bring legal action against persons or entities that may be causing injury to you, to Nashville Events by Design or to other parties. We may also disclose your personal information if we believe the law requires it be done.

Our web site uses "cookies", which are small amounts of data that are sent to your browser from a web server and stored on your computer's hard drive. We use cookies to advise us of your return visits to our Web Site, track our audience size and geographic market and/or analyze the visiting patterns of our users. Nashville Events by Design reserves the right to update or modify these Terms and Conditions at any time and without prior notice. Changes to these Terms and Conditions will be posted at this location on our Web Site and will go into effect on the date indicated as the ‘Last Updated’ date. The new policy will apply to all current and past users of our web site and will replace any prior policies that are inconsistent.
